Screenshots and your consent

هذا المحتوى غير متوفر بلغتك بعد.

Screenshots are off by default. Your organization can turn them on for the company, your team or you, and even then no screenshot of your screen is taken until you have given your explicit consent. You decide in the dashboard, and you can withdraw your consent at any time. This page explains what happens in each case.

When your organization uses screenshots, it publishes a privacy notice about them. The next time you open the dashboard, a window shows the notice: read it and choose I consent or I do not consent. You can change your answer later on your profile’s Privacy tab, on the Screenshots card, which also shows whether screenshots are on for you, the interval, whether they are blurred and how long they are kept.

If you do not consent, no screenshot is taken, and the rest of Focus works as before. When your organization publishes a new version of the notice, you are asked again, and no screenshot is taken until you consent to the new version.

The desktop app does not ask for consent itself. While your answer is missing, its menu shows “Screenshots: waiting for your consent”, and its “Give consent…” item opens the Screenshots card in the dashboard.

  • One picture of all your screens, taken at a random moment once in every interval your organization chose (5, 10, 15 or 30 minutes). Nobody, you included, knows the moment in advance.
  • The name of the app in front, and the names of the other apps visible on screen (none on Linux under Wayland). No window titles and no website addresses are sent.

When your organization blurs screenshots, which is the default, Focus applies the blur on the computer before upload: an unblurred picture of your screen never leaves your computer, and Workify360 never receives an unblurred copy. The screenshot is also encrypted on your computer before it is sent.

Focus records no video, no sound and no camera, and the content of your keystrokes is never recorded.

  • While screenshots are off for you, which is the default.
  • While you have not consented, or after you withdraw your consent.
  • During private time: turn it on for personal matters.
  • Outside your organization’s tracking hours, if it sets them.
  • While you are idle, and while your screen is locked.
  • While you are signed out of the desktop app.
  • Your managers and team admins, for the people they can see in the reports, and your organization’s owners and admins.
  • You, if your organization lets employees see their own screenshots: open Screenshots in the dashboard menu.
  • Nobody else: Workify360 support staff cannot open them, and connected AI apps never see screenshots.

Every time someone looks at or downloads your screenshots, it is written to the access log. Your profile’s Privacy tab shows under Who viewed my data how often your data was viewed (my data and KVKK requests).

A red frame around a screenshot means the app in front was unproductive under your organization’s productivity rules; a Suspicious badge means an unproductive app was visible in the background. They follow the current rules, so they can change when the rules change.

Only owners and admins can delete a screenshot, and a record of the deletion stays in its place.

Your organization chooses how long screenshots are kept: 30 days by default, at most 365 days. After that they are removed with their images.

Open your profile’s Privacy tab and, on the Screenshots card, choose Withdraw my consent and confirm. Withdrawing is as easy as giving consent:

  • No screenshot taken after you withdraw reaches Workify360. The desktop app learns of it the next time it checks its settings, at most 15 minutes later, and stops capturing; anything it captured in that time, and any screenshot still waiting on your computer, is discarded unsent.
  • Screenshots taken before stay until the retention period ends. If you want them removed earlier, make a KVKK erasure request on the same tab (my data and KVKK requests).

You can consent again later on the same card with Give consent.

If the desktop app says it cannot capture the screen, see the Screen Recording permission.
