Exports and e-mail reports

Это содержимое пока не доступно на вашем языке.

Exports and e-mail reports are part of the Pro and Premium plans.

  1. Click Export on a report page.
  2. Choose a template: Employees, Applications, Offline time, Titles and URLs, Overtime, Projects, and with Premium Shifts and Absence. Your own saved templates are listed too.
  3. Choose the date range and, if you like, a team or people. Exports cover up to 366 days.
  4. Pick the columns and their order, the grouping (day, week, month or the whole range) and the format: Excel (xlsx), CSV or PDF.
  5. Click Export. The file is prepared in the background, usually within seconds, and downloads when it is ready.

Click Save as template to reuse the settings later. Templates are personal: each person can keep up to 50, and the names of one person’s templates must differ. Saved templates keep the columns, grouping, format and filters; the date range is chosen each time you export.

The Projects template exports project time with the person, e-mail, team, client, project, task, period and the tracked, billable and non-billable time, grouped by day, week, month or the whole range. It is part of the Pro and Premium plans and uses the same numbers as the projects report (rates and costs).

The rate and amount columns are filled only for owners and admins who turn on Include rates and amounts; for everyone else, and without the option, they stay empty. Amounts are listed in the currency of their rate.

  • Durations as: hours, minutes and seconds (7:05:00), decimal hours (7.08) or minutes (425). Decimal hours and minutes are the easiest to add up in a spreadsheet.
  • CSV style (CSV only): Standard (comma, decimal point) suits most programs; Excel in Turkish (semicolon, decimal comma) opens with the right columns and numbers in Excel set to Turkish.
  • The Titles and URLs export covers up to 31 days, includes window titles only where title tracking is on and within the retention period, and URLs only where URL tracking is on.
  • A PDF is an A4 landscape table and holds up to 12 columns and 5,000 rows; use xlsx or CSV for more. The dialog counts the columns, and a PDF export with too many columns or rows stops with a message that suggests Excel or CSV.
  • Each person can have up to three exports in progress, and an organization ten.
  • An export includes only the people you can see when the file is prepared. If you can no longer see a team or a person by then, the export stops instead of leaving them out.
CodeWhat it means
too_many_exportsYou already have three exports in progress (or your organization ten); wait until one finishes
range_too_longThe date range is longer than the export allows (366 days; 31 for titles and URLs)
export_not_readyThe file is still being prepared; try again in a moment
export_expiredThe file was kept for 7 days and is gone; export again
export_storage_unavailableExport files cannot be stored right now; try again later or contact support
too_many_templatesYou already have 50 templates; delete one to save a new one

Reports → Exports lists your own exports with their status, size and when they will be deleted, newest first. Download a file again from here; files are kept for 7 days after they are ready and then removed. The My templates tab lets you rename, edit and delete saved templates.

Exports keep working when the account is read-only, so your data is never locked in; saving or changing templates does not (read-only account).

Owners, admins, team admins and managers can get a summary by e-mail. Employees cannot receive e-mail reports. The new version of the dashboard does not have the e-mail reports page yet.

  1. Open Settings → E-mail reports.
  2. Turn on daily, weekly or monthly and choose whether it covers everyone you can see or one team.
  3. Use Send test e-mail to see how it looks.

The e-mail contains the main numbers with the change against the previous period, the people with the most worked time, who was late or absent, the top apps and websites, and pending approvals, with a link to the report in the dashboard. No file is attached, and window titles and URLs are never included. It covers only the people you can see at the moment it is sent. No e-mail is sent for a period without any activity.

Owners and admins manage everyone’s subscriptions on the Recipients tab. Every e-mail has an unsubscribe link. E-mail reports are paused while the account is read-only, and they need e-mail sending to be set up for your account; the page shows a notice when it is not.
