What Focus records about me

Ce contenu n’est pas encore disponible dans votre langue.

Your employer uses Workify360 Focus to understand how working time is spent. This page explains, in plain words, what the desktop app records about you and who can see it. It describes the desktop app and the dashboard as they work today.

This page is not a legal notice. It does not replace your employer’s privacy notice (aydınlatma metni) or the Workify360 privacy policy.

While the desktop app runs and you are signed in, it sends the following to your company’s Focus account:

  • The app in front, for example “Google Chrome” or “Excel”, with the start and length of each period.
  • The window title, for example the name of the open document, if your company records window titles.
  • The website address (URL) and domain of the open tab, if your company records website addresses (the Record website addresses setting, on by default): on Windows, from desktop app 2.0.6, in Chrome, Edge, Brave, Opera, Vivaldi, Chromium, Arc and Firefox; on macOS in Chrome (also Chrome Canary and Chromium), Brave and Safari. On Windows the app reads the address bar of the browser window in front; Windows asks for no permission for this. Other browsers, Linux, and Edge, Arc and Firefox on macOS report no addresses. From desktop app 2.0.7, the app does not read addresses at all when the setting is off (below). Private windows are covered below.
  • Whether you are active or idle, based on whether there was keyboard or mouse input, not on what the input was. After a set time without input (3 minutes by default) you count as idle.
  • Private time as a period with a start and an end only, without any details.
  • About the computer: its name, operating system, time zone and the app version.
  • Screenshots, only if your organization turns them on (they are off by default) and you have given your explicit consent: one picture of your screens at a random moment in each interval, blurred on your computer before it is sent unless your organization turns the blur off, with the names of the apps on screen. See screenshots and your consent.

The dashboard also stores your account details (name, e-mail address, mobile phone number, role and team) and entries you or your managers make, such as offline time and its approval, deleted time, leave and shifts. The mobile phone number is optional, on the sign-up page as well as when you join through an invitation; only you, the account owner and the company admins can see it, and you can add, change or remove it on your profile.

  • It does not record what you type: the content of your keystrokes is never recorded or sent.
  • It takes no screenshots unless your organization has turned them on and you have consented. It records no video and does not use the camera or the microphone.
  • It does not read the content of your files, e-mails or messages.
  • It records no apps, titles or addresses during private time.
  • It sends nothing outside your company’s tracking hours, if your company sets them.
  • It does not take what you type into the browser’s address bar as a visited address: while the address bar has the keyboard focus, the app keeps the address of the page that is open.

From desktop app 2.0.7, a private browser window that the app recognizes is recorded as the browser app only (for example “Google Chrome”), without the window title or the address, whatever your company’s settings. Its time still counts as time in that browser.

  • On Windows the app recognizes Chrome and Brave incognito windows in every language, Edge InPrivate windows and Firefox private windows. Opera, Vivaldi and Arc private windows on Windows are recognized only if the browser keeps Chromium’s wording for them; otherwise they are recorded like normal windows.
  • On macOS the app recognizes incognito windows of Chrome (also Chrome Canary and Chromium) and Brave. Safari private windows on macOS cannot be told apart: Safari does not tell other apps whether a window is private, so they are recorded like normal windows, with their title and address. Private windows of Edge, Arc and Firefox on macOS are not recognized either; these browsers give no address on macOS, and their window title is recorded like that of any other window.
  • On Linux private windows are not recognized: their window title is recorded like that of any other window, if your company records window titles. Linux gives no addresses.
  • Desktop app 2.0.6 and earlier worked differently: on Windows they recognized a private window only by the English words InPrivate, Private Browsing or Incognito in its title, and still recorded its title; on macOS they recorded Chrome and Brave incognito windows without the browser’s name. The app version is in the app’s Help ▸ About Workify360 Focus.
  • For personal matters, turn on private time: nothing but its start and end is recorded then, in any browser.

The desktop app keeps its own database on your computer; it is what the app sends from. Some of it never leaves the computer:

  • Activity outside the tracking hours is kept locally but not sent.
  • From desktop app 2.0.7, when your company turns off Record website addresses, the app does not read website addresses at all, so they are not stored on the computer either. From 2.0.7 the app also reads no addresses until it has received your company’s settings once (on its first start and after you sign out); when it starts offline, the settings it last received apply.
  • Addresses stored earlier, while the setting was on or by desktop app 2.0.6 and earlier, stay in the local database when the setting is turned off; the app removes them before sending, and Workify360 also drops them if they arrive.
  • When your company turns off Record window titles, the app still reads window titles, but removes them before sending; the local copy keeps them. Workify360 also drops them if they arrive.
  • The app can keep counts of key presses and mouse clicks (never which keys) in this local database. These counts are not sent to Workify360.
WhoWhat they see
YouYour own days, apps, titles and websites in My Focus and the reports.
Your manager or team adminThe people of their team and of teams they were given read-only access to. A manager who is not assigned to any team sees the whole company until an admin assigns one.
Company owner and adminsEveryone in the company.
  • Window titles and full URLs are shown only when a single person is selected, for up to 31 days at a time. They never appear in team lists, the dashboard or e-mail reports.
  • The live Team page shows your current app and website host, updated about every minute.
  • During private time others see only that you were in private time.
  • Screenshots, when your organization uses them, are seen by the same managers and admins, and by you if your organization allows it. Every view is written to the access log.
  • Window titles: 90 days by default. Your company can choose between 1 and 395 days. Older titles are no longer shown in reports or exports; the time totals stay.
  • Screenshots: 30 days by default. Your company can choose between 1 and 365 days.
  • The rest of your activity is kept for your company’s reports. Your employer decides about deletion; ask them if you have questions.

In the new version of the dashboard, your profile’s Privacy tab shows under Who viewed my data how often your data was viewed, by channel (for example the dashboard or a report export), by kind of data and by month. Your organization can also show who viewed it and when. See my data and KVKK requests.

  • Turn on private time for personal matters.
  • Quit the app or sign out when you are not working on that computer.
  • See your own data at any time in My Focus.

Your employer decides how Focus is used at your company. To see, correct or delete your data, or to ask how it is used, contact your company’s Focus admin or your HR team first. You can also write to Workify360 at support@workify360.com.

Under KVKK you can ask your employer for a copy of your data, or for it to be corrected or erased. In the new version of the dashboard you send the request yourself: open your profile’s Privacy tab and choose New request under My data. Your employer has to answer within 30 days, and you download your data from the same page (my data and KVKK requests). Until the new version reaches your organization, send the request to your admin or HR team, who record it.
