Billing is under Settings → Billing. Only the account owner can buy, change or cancel a plan; admins see the page read-only.
| Plan | Includes |
|---|---|
| Free | The Pro features for up to 3 active users, with no credit card and no payment. Premium features are not included. |
| Pro | Automatic time tracking, productivity rules and categories, dashboard, My Focus and the live Team page (updated about every minute), reports, exports, scheduled e-mail reports, private time, offline time, approvals and the audit log, projects and tasks with the timer, hourly rates and project costs. |
| Premium | Everything in Pro, plus shift planning, the absence calendar, leave balances, client invoicing, screenshots, the public API with API keys and webhooks, workload alerts and AI summaries (pilot). |
Projects, the timer, rates and costs are described in projects and tasks and rates and costs, client invoicing in clients and invoices, the public API in API keys and webhooks.
Calendar sync with Google Calendar and Outlook, user import from Google Workspace and Slack, issue tracker sync with Jira, GitLab, Asana and Trello, and SCIM provisioning are not open to customers yet, so no plan includes them today. Their articles describe how they work in the dashboard: calendar sync, user import, Jira, GitLab, Asana and Trello and SCIM provisioning.
Screenshots are off by default even on Premium: an owner or admin turns them on for the company, a team or a person, or a team admin for their own team and its members, and they are taken only for the people who give their consent (screenshots). On Pro no screenshot is taken and the gallery is not available; screenshots taken before stay stored until their retention period ends.
Workload alerts and AI summaries are off until the owner turns them on (workload alerts, AI summaries). AI summaries are currently enabled only for pilot organizations.
Features that are not available yet are marked “Coming soon” on the billing page and the pricing page.
A new organization starts with a 14-day trial with all Premium features. No credit card is needed. The owner sees how many days are left. When the trial ends without a purchase:
- an organization with at most 3 active users continues on the Free plan right away, with the Pro features, and the owner gets a notice that the trial has ended;
- an organization with more than 3 active users becomes read-only until the owner chooses Pro or Premium, or deactivates users until at most 3 are active and switches to Free (read-only account and plan limits).
Nothing is deleted in either case.
Free plan
Section titled “Free plan”The Free plan is for an organization with up to 3 active users, for example the owner and two colleagues. It costs nothing, needs no credit card and has no payment page.
- It has the Pro features. Premium features stay locked, as on Pro (
feature_not_in_plan). - A fourth person cannot join: while 3 users are active, inviting someone, reactivating a deactivated user, importing
users and accepting an invitation are refused with
plan_seat_limit. Invited users who have not accepted yet do not count toward the 3. To grow the team, the owner first chooses Pro or Premium on this page, then invites the people again (read-only account and plan limits). - The account is never read-only on Free.
Switching to Free. The owner can switch to Free on this page when the organization has at most 3 active users:
- during the trial or while the account is read-only, the switch takes effect right away;
- on a paid plan, the plan is cancelled at the end of the period: it stays paid and fully usable until then, and the organization continues on Free afterwards if it still has at most 3 active users (with more, the account becomes read-only).
With more than 3 active users the switch is refused with plan_seat_limit; deactivate users until at most 3 are
active first.
Users and price
Section titled “Users and price”- The price is per user per month, billed monthly or yearly (yearly is cheaper per month).
- Only active users who accepted their invitation are billed. Invited users who have not accepted yet and deactivated users are free.
- On Pro and Premium, adding users is never blocked; the number of billed users follows the user list automatically. On Free, up to 3 active users are allowed.
Paying
Section titled “Paying”- Turkey: payment in Turkish lira through PayTR; prices exclude VAT (KDV). Seat changes are charged from the next renewal.
- Other countries: payment in US dollars or euros through Stripe. Seat changes are charged pro rata right away.
You pay on the provider’s secure payment page; Workify360 does not see or store card numbers. After paying you return to the billing page, which shows when the payment is confirmed.
Manage payment method (paid subscriptions) opens the provider’s page for changing the card. Invoices and receipts are listed on the billing page.
Billing details
Section titled “Billing details”Payments through PayTR need your company’s billing details for the receipt. In the new version of the dashboard, the owner keeps them on the Billing details card of the billing page, and the next payment uses them; in the earlier version they are asked for just before the payment.
- Company name, contact name, billing e-mail, mobile phone in international format (for example +905321112233), tax office and billing address.
- The 10-digit tax number (VKN) or, for individuals, the 11-digit identity number (TCKN). The dashboard checks the number before saving it.
- After saving, only the last 4 digits of the number are shown, for example •••••••7890. Choose Change to enter a new one; the full number is never shown again. It is stored encrypted and used only for payments and receipts.
- Admins do not see the card.
Before paying with PayTR, tick the box to accept the Distance Sales Agreement and the Delivery and Returns terms; the payment does not start without it.
Change or cancel
Section titled “Change or cancel”- Upgrade from Pro to Premium: right away.
- Downgrade to Pro or switch between monthly and yearly: at the end of the current period.
- Cancel: the plan stays active until the end of the period. Then an organization with at most 3 active users continues on the Free plan, and a larger one becomes read-only. You can resume before that date.
- Switch to Free: like a cancellation, at the end of the period, and only with at most 3 active users (see Free plan).
When a payment fails
Section titled “When a payment fails”The account stays fully usable for a 7-day grace period while the payment is retried, and the owner and admins see a banner with the date. If it still fails, the account becomes read-only until the owner pays (read-only account and plan limits). If the subscription is then cancelled, an organization with at most 3 active users continues on the Free plan.
Billing never deletes data, and the desktop apps keep collecting in every state.
