Screenshots, Only With Consent
Some teams need visual context: for client billing, audits or reviewing work procedures. Focus can take a screenshot at a random moment in each interval, blur it by default on the employee's computer and show it next to the tracked time.
Screenshots are off by default. They are taken only for the people your organization turns them on for, and only after each person gives their explicit consent.
How screenshots work
Most teams get what they need from time and activity data alone. Screenshots are there for the cases where it isn't enough, and they stay off until you decide otherwise.
A random moment in each interval
Choose every 5, 10, 15 or 30 minutes for the company, a team or a person. The desktop app takes one picture of all screens at a random moment inside each interval, so nobody can predict it, and never more than one per interval.
Blurred by default, on the computer before upload
Blur is on by default, and owners, admins and team admins can turn it off. When it is on, Focus applies the blur on the computer before upload, so an unblurred picture never leaves the employee's computer and our servers never receive one. You see what kind of work was on screen, not the messages, documents or customer data.
Frames from your productivity rules
The gallery groups each person's day by hour. A red frame marks an unproductive app in front, a Suspicious badge an unproductive app visible in the background. Both follow your current productivity rules, for earlier screenshots too.
Safeguards that come with it
Screenshots can contain personal data. Focus treats them accordingly, in line with KVKK.
Off by default
An owner or admin turns screenshots on for the company, a team or a person, and a team admin for their own team and its members. Organisations that don't need them simply leave them off.
Notice and explicit consent (KVKK)
You publish a screenshots notice, starting from our default text. Nothing is captured for a person until they consent in the dashboard; they can withdraw at any time, and no screenshot taken after that reaches us: the desktop app stops within 15 minutes and discards anything it captured in between.
Never during private time
No screenshot is taken during private time, outside tracking hours, while the person is idle or while the screen is locked. No window titles, no video and no keystrokes are recorded.
Every view in the access log
Each list, view and download of screenshots is written to the access log, and employees see how often their data was viewed.
Role-based access
Managers see the people they manage, owners and admins see everyone, and employees see their own screenshots if you allow it. Our support staff cannot open screenshots.
Retention and deletion
Screenshots are kept for 30 days by default, or 1 to 365 days as you choose. Only owners and admins delete one, and a record of the deletion stays in its place. Images are stored encrypted on Cloudflare R2.
Use screenshots responsibly. Tell your team before enabling them, explain why they are needed, and check the requirements of the data protection laws that apply to you (such as GDPR or KVKK). Screenshots are part of the Premium plan and of the 14-day trial. See our Privacy Policy and the subprocessor list for how we handle data, and the help center for every setting.
Visual context, only where you need it
Start with time tracking, and turn on screenshots only for the teams and cases that justify them.
